Excel For Mac Pivot Table Repeat Item Labels

When you create a pivot table in Excel 2010 or Excel 2007, the row labels are in a compact layout – all the headings are listed in column A.

Alternatively, right-click the item column and select ' Field Settings ' from the list; In the Layout & Print tab, check the ' Repeat item labels '. Right click, within the pivot table, on the row heading you want to have repeated. Click 'Field Settings' Click 'Layout & Print' Check 'Repeat item labels' You may need/want to also select 'Show item labels in tabular form' if you have not already. This will kick whatever values are lower in the Row hierarchy into a separate column. In Excel 2010 for Windows (and later) the Pivot Table Design ribbon contains a drop-down called 'Report Layout'. Selecting 'Tabular Layout' and 'Repeat all item labels' will show a tabular layout with no blank cells. Unfortunately, this setting is not available in Excel 2011 for Mac.

You can change the Report Layout setting, to either Outline form or Tabular form, so each row field is in a separate column.

A new feature in Excel 2010 lets you repeat those row labels, so they appear on every row in the pivot table.

To turn on that feature for all the fields, select the Repeat All Item Labels on the Ribbon’s Design tab.

Repeating Labels for a Single Field

Instead of turning on repeating labels for the entire pivot table, you can apply the feature to a specific pivot table field.

In this example, the Region, City and Store fields are in the Row area, and we’ll turn on repeating labels for the Region field only.

  1. Right-click one of the Region labels, and click Field Settings
  2. In the Field Settings dialog box, click the Layout & Print tab
  3. Add a check mark to Repeat item labels, then click OK

Now, the Region labels are repeated, but the City labels are only listed once.

Repeating item and field labels in a PivotTable visually groups rows or columns together to make the data easier to scan. For example, use repeating labels when subtotals are turned off or there are multiple fields for items. In the example shown below, the regions are repeated for each row and the product is repeated for each column.

  1. Right-click the row or column label you want to repeat, and click Field Settings.

  2. Click the Layout & Print tab, and check the Repeat item labels box.

  3. Make sure Show item labels in tabular form is selected.

  • When you edit any of the repeated labels, the changes you make are applied to all other cells with the same label. You can't edit individual repeated cells.

  • When you change the format of all repeated labels by selecting the item label in the summary row or all repeated labels, the format is automatically applied to all other cells with the same label. However, you can also change the format of individual repeated labels without applying the same formatting to other cells with the same label.

  • Repeated labels are shown only when the PivotTable is in tabular form. They are not shown when compact form or outline form are applied. If you need to, you can change the format in Report layout.
